Start with the room’s use
Describe the activities the lighting needs to support. A desk, kitchen work surface and seating area may each call for a different brief. Explain where you want light, which existing positions you want to retain and where you would like a change.

Describe these as desired functions. Identify which matter most to you and whether you already have a product in mind, without assuming a feature is included in a proposal.
Agree a clear written scope
Ask what work and materials the proposal includes, along with timing and costs. Describe requested replacement fittings, proposed new positions and any planned refurbishment dates in your enquiry.
